About the position
Your job as a Client Service Administrator is to enhance the client experience by servicing clients and providing operational and administrative support to Financial Advisors. Your knowledge of firm policy, procedures, and technology allows you to interface with clients and prospective clients, anticipate their needs, resolve their problems, and follow through to provide exceptional service. You perform administrative duties that support Financial Advisors in their daily business practices (e.g., client meetings, on-boarding new clients, file preparation, processing business, etc).
You support firm initiatives and maintain risk awareness and regulatory knowledge. You are client service-oriented and a team player. You are detail-oriented with proven organizational skills, able to manage time efficiently, and can multi-task. You have proven written and verbal communication skills. This is not a virtual or hybrid position.
Responsibilities
- Maintain existing client relationships through the processing of client requests, resolving client inquiries, and making sure key client information and documentation is up to date
- Conduct outreach to maintain strong relationships with the client base
- Onboard new client accounts, which includes the collection of required documentation and client information
- Prepare financial reports, spreadsheets, and other materials for client meetings
- Proactively participate in firm initiatives
- Actively engage in available training and education programs to maintain current status on policies, procedures, and risk awareness
- Process requests on behalf of the Advisory Teams or clients
- Perform administrative duties that support Financial Advisors in daily business practices, including but not limited to telephone coverage, coordination of client meetings, and file & calendar maintenance
Requirements
- 3+ years of professional admin experience in a financial services or related setting
- Ability to support multiple advisors in a fast-paced setting
- A positive attitude, desire to interact with clients, and a passion to succeed
- Polished communication skills
Education, Experience, Knowledge, and Skills
- BA/BS preferred or relevant practical experience as an Office Administrator/Assistant or Client Services
- Financial industry experience is a plus
- Strong computer skills and knowledge of Microsoft Office products
- Exceptional interpersonal and client service skills
- Detail orientated with superior organizational skills
- Team player with the ability to collaborate with others
- Ability to work in a fast-paced, evolving environment
